Application for Enrolment Requirement and
Procedures
The
applicant/guardian must complete the International Student Application for
Enrolment Form and produce the following documents before the application
can be processed:
Passport (copy of key page(s))
Student via/permit (copy)
Copies of recent school report with verified English translation is
required
PROCEDURES ONCE an ENROLMENT has BEEN
RECEIVED
1 On
receipt of a completed enrolment application, the parent/guardian will be
informed of an interview time. This interview time will involve:
The prospective student (with actual Passport)
The parents
The designated caregivers (if applicable)
A translator (if required)
The Principal or nominated deputy
The teacher in charge of International Students
The interview will consist of:
Tour of the school
Explanation of the Conditions of Enrolment (see
below)
Classroom and daily programme explanation
Initial assessment of the level of English of the student
Ensuring the parents understand the Code
Explanation of the designated caregiver’s role and responsibility
(if applicable)
Making an appointment time to visit the home of the designated
caregiver
Answering any questions the family may have.

Parents will be informed in writing of the school’s decision within 7
days of the interview.
If there are no current available places, the parents will be
notified and will be given the option of being placed on a waiting
list
When a place becomes available, they will be notified and given 14
days to accept or decline the placement.
Placement in a particular Year or class is at the discretion of the
Principal
3 If enrolment is accepted the
parents have 14 days, or less if they desire, to accept the placement by paying
the fees. Once the fees have been received and receipted by the school, the
student may attend Sancta Maria College.
Conditions of Acceptance
In
addition to the conditions listed here, all conditions that are part of the
contract with parents, the homestay contract, the fees refund policy and other
school policies also apply.
1. An
elementary level of English is necessary because of the technical nature of
subjects studied at Sancta Maria College.
2. Students
and parents/legal guardians must accept and abide by rules regarding behaviour
and conduct that apply to all students. Unacceptable behaviour may result in
the termination of tuition.
3. Students
must observe the laws of New Zealand.
4. Students
must observe the conditions of their visa. If a student breaks the terms of the
visa the school will report the fact to the New Zealand Immigration Service,
which may result in the student having to leave New Zealand.
5. Because
class placements are decided on the evidence of assessment after arrival in New
Zealand, all information given before enrolment about placement on
courses and in classes is provisional. The school reserves the right to adjust
placements and individual programmes at any time if it is in the student’s
interests to do so.
6. The student
will attend the school on all occasions when it is open unless prevented by
illness or other urgent cause.
7. Tuition may
be terminated if the student fails to comply with the school rules or breaches
the conditions of their visa.
8. Tuition
fees will be paid in full before enrolment, or before enrolment is renewed
(whichever applies).
9. All
additional costs (as outlined in the school prospectus) will be paid promptly,
as required.
10. The
conditions of the Fee Refund Policy will be accepted.
11. All students
are required to have travel and medical insurance for the duration of their
period of enrolment. The school will arrange insurance unless students choose
to make their own arrangement, in which case proof must be provided that the
insurance purchased is adequate.
12. All
international students must obtain an insurance policy that includes a fees
protection clause. Sancta Maria College can arrange a suitable insurance
policy. If a student’s insurance is arranged independently, a copy of the
policy must be sent to the school before enrolment to ensure that fees
protection coverage is adequate.
13. All
international students must live in one of the following types of
accommodation:
a. With their parents or legal guardians (proof of legal
guardianship must be supplied).
b. With a designated caregiver chosen by
their parents/legal guardians. All accommodation offered by designated
caregivers must be approved by the school, as required by the Code of
Practice for the Pastoral Care of International Students. An indemnity must
be signed by parents giving the designated caregiver authority.
14. All disputes
will be dealt with in New Zealand law.
15. The school’s
complaints procedure for international students will be used to deal with
grievances.
16. Parents must
inform the school of their address, telephone number, fax number and email
address (whichever applies). The student and/or parents will advise the school
of any change in the contact details of the student or parents.
17. The student
and/or parents will provide academic, medical and other information that is
relevant to the wellbeing and course placement of the student.
Refund Conditions and Procedures
If a student
withdraws from his/her course of study before the completion date, he/she may be
eligible for a refund of tuition fees. If a refund is requested, the following
procedures and guidelines will apply:
To be
eligible for a Refund:
¨ To be eligible for a refund, parents must apply in writing to the
Board of Trustees setting out the special circumstances of the claim within one
month of the last day of attendance. You must also complete the official
leaving process and attach the leaving certificate.
¨ In every case, the school undertakes to look fairly at applications
for a refund of fees or part-fees.
If the application is made before the start of the
course:
¨ Fees will be refunded in full, less an Administration Fee of
$NZ 500.00 . This includes if a student is not granted a student
permit to attend Sancta Maria College.
If the application is made after the start of the course (i.e. in
Terms 1 or 2), but before the second half of the course (i.e. Terms 3
& 4):
Fees will be refunded less:
¨ An Administration Fee of NZ $500
¨ Costs to the school already incurred for tuition
¨ Components of the fee already committed for the duration of the
course
¨ Specialist fees (if applicable)
¨ Appropriate proportions of salaries for teachers and support staff
(if applicable)
¨ Costs already incurred for the use of facilities and
resources
¨ Any other costs already incurred.
If the application is made after the second half of a
course:
¨ There will be no refund, except under exceptional circumstances.
(See Compassionate Refunds below.)
Compassionate Refunds:
¨ In exceptional circumstances, refunds may be granted on compassionate
grounds (e.g. death of a close family member, serious illness, accident). All
such refunds will be at the discretion of the Principal and the Board of
Trustees.
If an international fee-paying student gains residency during their
course:
¨ No further fees are to be paid. Refunds for Permanent Residence will
not be made unless the school has been advised on enrolment that an application
for Permanent Residency has been lodged. The new resident will then abide by
the school enrolment scheme. Application to attend Sancta Maria as a “Regular
Student” must be made. As a Catholic school Sancta Maria College has a defined
Special or Catholic Character. The school zone conditions stipulate the
criteria to attend Sancta Maria College as a regular student. Preference will
be given to students who are Catholic and live within the school zone.
Documentation of residency must be provided within 14 days of it being granted.
The Board of Trustees will make no refund:
¨ When a student is required to leave the school for a breach of the
rules and conditions of enrolment at the school or has broken a New Zealand
law.
¨ Where a student has been stood-down, suspended or
excluded.
¨ Where a student returns home for any reason other than serious
illness, accident or death of a close family member.
¨ If the enrolment application is found to be inaccurate in any way and
the contract is terminated.
¨ If a student wants to transfer to another school or educational
institution.
Homestay Fees
If you move out of
your Homestay before the end of your Contract:
¨ The Homestay Placement Fee of $NZ250.00 will not be
refunded.
¨ All other unused Homestay Fees will be refunded, provided the
Homestay has been given two weeks’ notice that the student is leaving unless
Sancta Maria College has guaranteed your accommodation.
¨ If the college has guaranteed your accommodation, payments to your
new homestay family or designated caregiver will be paid through the college’s
homestay programme. The homestay placement fee of $250 cannot be
refunded.
¨ Approved refunds will have any money owing to the homestay family
deducted, ie telephone accounts etc.
¨ If the student does not give two weeks’ notice, then two weeks’
Homestay fees will be deducted from any refund.
Payment of Refunds:
¨ All refunds will be paid to either the parents of the student or to
an agent with written authority from the parents. No refunds will be given
directly to the student.
Fees
Protection:
¨ The
School has a fee protection policy to safeguard the fees paid by International
Students, in the unlikely event that the school may not be able to continue
delivering tuition to the international student. This policy ensures that the
school retains sufficient funds to meet the requirements of any refund in these
circumstances.
N.B. The New
Zealand Immigration Service will be notified if any student ceases to attend
Sancta Maria College for whatever reason.
